Council minutes Nov. 10, 2009
Present:  Jon Boldebuck, Kris Gorton, Phil Haslanger, John Hilliard,
Wendy Proctor, Ron Reichert, Shirley Robbins, Sonjia Short, Keith
VonDerHeide.
Absent:  Barb Gallogly-Turner, Kelly Jetzer and Michael Magness

Phil led an opening prayer.
Minutes of the October meeting were approved as printed, on motion by
Sonjia and second by Keith.

Pastors' Reports:
---Phil:  He noted upcoming programs on Islam and Judaism, especially
for the Faith Club book groups but open to all.
              He advised committee chairs to be sure to recruit people
who have expressed interest on the Time and Talent sheets.
              Explained the change of name, "Totenfest" to "Transition
Sunday", focusing on all transitions in life, not just deaths.
---Kris:  She noted the healing service to be held at 4 p.m. on Nov.
29, in preparation for Advent and Christmas.
              The youth had a fine experience at the Corn Maze.

Financial Report (John):  He predicted that if the pattern of expenses
and income continues through this year in the present pattern, we might
end up with a slight surplus.  Giving to pledges is still below budget, similar to 2008.  It was moved by Sonjia and seconded by Jon that this report be accepted.  Carried.

Committee Reports:
---Trustees (Keith):  --They request the addition of Dean Baumgardner to
the committee.  Moved by Sonjia and seconded by Jon that Dean be added.
  Carried.
          --Trustees would like to have a manual of policies and procedures produced as soon as possible.  Moved by Wendy, seconded by Sonjia that Gary Johnson be asked to chair an ad hoc committee to work on this and to choose members of this committee.  Motion carried.
          --John explained the budget process for 2010. The Trustees
will present a preliminary budget to the Council in December.  In
January the Council will recommend a budget to the Congregation, to be discussed and adopted at the Annual Congregational Meeting.
          --Phil is in touch with Bob Mutton on a date to install Leah
Lonsbury as our Associate Pastor.  Hopefully on January 31.
          --The Council decided that its January meeting will be on the 5th rather than the 12th, with the Annual Meeting on Jan. 24.
---Membership (Wendy):  Reported on the successful sign-up for the new
Directory.  The Council thanked her for her work on this, and Wendy
directed special thanks to Chris Hammer for her work.
---Outreach:  --A program on mental health is coming up.
                    --A new approach to Second Mile is being planned, and will be on the agenda for the Annual Meeting.
                    --Keith noted that the Endowment Fund has $301 which can be used for special outreach.
---Worship (Sonjia):  "Decoration" plans for Advent will be noticeably
different.  The committee hopes to be more than a "decorating
committee", and will work with Leah on new ways to enhance worship.
---Building and Grounds (Jon):  He has changed one of the three
burned-out bulbs in the Fellowship Hall.  (We seem to be out of usable
bulbs now.)  There is a sub-committee of the Trustees to work on a formal
policy concerning the memorial garden.  A new water heater is under
discussion and research.  A list is being compiled of small projects around the church which might be done by volunteers.  It is hoped that we can update the
lighting in the narthex, using memorial funds.

Old Business:
---Gary Johnson met with the Strategic Planning Committee and has ideas
and expertise for the Manual of Policies and Procedures.  The committee
is looking at the Sunday morning schedule and at attracting and keeping
members, among other issues.

New Business:
---Ron reported on a seminar he and Phil had attended at the Conference
Office.  It was on attracting and keeping members.
---Phil handed out a report on his recent work in contacting members
not seen for a long time.  Some asked to be removed, some asked to stay
on our rolls, and some did not answer.  On the basis of this report, Keith moved that the Carvins and the Clapps be removed from the membership rolls.  Motion seconded by Sonjia and carried.
---The Council term misalignment will be corrected with the January
election.
---John noted that Bob O'Dell left $1,000 to the church, with no strings
attached.  It goes into the Memorial Fund.
