Council Minutes, June 8, 2010

Present:  Jon Boldebuck, Phil Haslanger, Kelly Jetzer, Leah Lonsbury, Michael Magness, Jackie Neidhart, Wendy Proctor, Ron Reichert, Shirley Robbins, Sonjia Short, Keith Von Der Heide.  Absent:  Rick Orton.

Opening Thought:  Phil suggested that each Council member take a turn presenting the opening prayer or thought each month.  Idea accepted, and Ron volunteered for the next meeting.  This evening Phil offered a brief reading.
 Moved by Sonjia and seconded by Michael that the minutes of the May meeting  be approved as printed.  Motion carried.

 Pastors' Reports:
--Phil --- Noted that Jean Lepro has lists from the recent past of volunteers and their interests; ask Jean for this.
          --- Asked for the Council's feeling about having Jacy Boldebuck lead the communion service in the absence of both Phil and Leah, since Jacy is not licensed.  Council sees no problem and welcomes Jacy's leadership.
          --- Said his vacation will be June 20 to July 6.
 --Leah --- Said that Dane County United is glad we are interested in this organization and hopes to know us better.
             --- She has been doing a "Lunch with Leah" with a different church member each week.
             --- In July a Youth "work + overnight" is planned:  two days of work with Dr. Cate Ranheim's health ministry, with an overnight at the church between.  Wendy noted that the St. Vincent de Paul food pantry is across the street, and a trip to see it would be good.
             --- "The Way", the new Wednesday evening program, is in the planning stage, and will begin in September.  It will include supper (catered to start with), then two "paths" (body and spirit) to choose between - for instance, pilates and a book study - ending with a short worship time.  Phil said that the Trustees will be asked to approve use of the Ahrnsbrak New Initiative Fund for Wednesday evening child care and the meal.  The fund will also be needed to pay for publicity for this and other events and projects which are aimed at bringing in new people from the Fitchburg community.  The Council informally approved of this.
 
Financial Report (Keith)
---John Hilliard recommends that a letter be sent to the congregation about the current deficit, noting that pledges and other sources of funds are behind expectations (and hopes).  Council agreed.
---Gary Johnson is investigating the information that MUCC is listed as having "unclaimed property".  (A bond?)
---Moved by Sonjia and seconded by Wendy that the report be accepted.  Motion carried.

Doughnut Report (Jackie Neidhart):  The committee considering this presented four choices as to serving/ordering doughnuts for Sunday morning fellowship.  After discussion, Keith moved that doughnuts be ordered from Greenbush Bakery on each first and fifth Sunday.  Motion seconded by Sonjia and carried.  The committee will compile for all hosts a list of recommended food choices in several categories.  Our aim:  healthy fellowship snacks but also enjoyment, and ease of hosting.  (To help with this, a survey was taken of people who attend the fellowship time.) The list will be published in the Newsletter and also sent with reminders.  The Adult Programming Committee will contact the bakery with this change.

Sunday Morning Worship Schedule Report (Sonjia):  The printed proposal, which includes a time schedule, space suggestions, detailed considerations and recommendations, was discussed.  The Committee recommended that the Council form an Education Committee to plan educational offerings and recruit volunteers, with evaluation at 3 months and 6 months.  It was moved by Michael and seconded by Jon to approve the proposal.  Motion carried.
Moved by Michael and seconded by Wendy that the Council shall form an Education Committee as detailed in the proposal.  Motion carried.  This will include the current Children's Education Committee, plus persons to serve as Youth Education and Adult Education sub-committees; Kelly will be Council liaison.
 Note:  Our signs will need new schedule numbers; referred to the Trustees.

Policies and Procedures Committee:  Kate P. has searched Council minutes for years past, and has organized everything relevant to policies and procedures as a basis for a new manual.  The Council will consider this information.  On Human Resource policies we are "breaking ground" - the state office has nothing much, and wants what we produce.

 Next meeting:  August 10 (NO meeting in July).
